LOCATION:

Main office in Randolph, Massachusetts with satellite locations in Medford and Dorchester in Massachusetts. Administrative staff can be designated to work at any of our office sites within the regions we cover based on positions that are available and travel will be required at times.

JOB SUMMARY:

The Assistant Program Director provides clinical and administrative supervision of the Intake Registration, Intake Admissions and Medical Records Departments and overall patients’ medical records.  Ensures that patient needs are translated in medical records for medical necessity within clinical documentation and comply with standards that meet services specification into specialty program and provides coordination of care management in order to ensure timely and appropriate services for patients. Oversees Quality Management Team which includes the Human Resource, Clinical Documentation Specialist, Healthcare Auditing Coordinator, Health Care Transcriptionist, Intake Registration, Intake Admissions and Medical Record Department. Director will directly supervise the Intake Operational Staff, Program Coordinators and cover for Assistant Clinical Director. Maintains quality assurance and a safety measure of program resources including supervision of staff in specialty program services. Assists Clinical Director with curriculum training manuals and instructing staff. Responsible for tracking of Assessments, Treatment Plans, Crisis Screenings Tools, other clinical documentation and treatment Intervention through EMR and other systems. Will also be responsible for implementation of our innovative model and oversight of the integrated team. Work collaboratively with Department Leadership to analyze service outcomes, progress and efficiency data, satisfaction and other management information in order to modify and further improve service delivery.

POSTION OVERVIEW & RESPONSIBILITES:

This position is a combination of clinical and macro duties; this position will assist in planning, overseeing and managing the daily clinic operations and staff which includes:

  • Assisting the Executive Director in the overall development and implementation of programs and providing leadership in the development of continuum of care, and to the operational management of Intake Registration, Intake Admissions and Medical Records Departments
  • Lead with monitoring and maintaining training for employee development and conducting training for Clinic Program Services level of care
  • Lead as a resource for assisting with implementing programs and organizational climate management
  • Assisting with the development of program specialty manuals and curriculums
  • Part of rotating On-Call Supervisory Team
  • Supervision of 3 clinical interns yearly
  • Implementing strategic plan for growth of compliance and operations for Intake Registration, Intake Admissions and Medical Records Departments and overall patients’ medical records
  • Maintaining and managing Intake Registration and Intake Admissions to streamline patients into specialty programs and ensuring direct care clinical staff scheduling productivity
  • Providing day to day program management, oversite of staff and maintaining policies, procedures and protocols in the Intake Registration, Intake Admissions and Medical Records Departments
  • Reviewing all documentation of staff Intake Registration and Intake Admissions as part of weekly supervision
  • Collecting and maintaining weekly supervision documentation as part of quality assurance compliance medical records in Intake Registration and Intake Admissions
  • Implementing programmatic provisions of ongoing best practices of policies, procedures and protocols Intake Registration and Intake Admissions
  • Attending required professional meetings outside of clinic
  • Assisting with internal audits and reviewing documentation with Assistant Clinical Program Director given by Intake Registration and Intake Admissions
  • Conducting internal audits to maintain quality programming and Intake Registration and Intake Admissions
  • Predicting and planning for professional development needs from specialty program staff design and development.
  • Acting in conjunction with the appropriate manager(s) on a daily basis to provide assessment of patient census for Intake Registration and Intake Admissions and appropriate specialty programs
  • Lead on weekly reports patients in Intake Registration census, process of intake completing census, Patient completing Intake Admissions census, patient discharge census and Intake Admissions direct care clinical staff scheduling and productivity
  • Ensuring Intake Admissions Department completes all compliance measure of medical necessity documentation in medical record every 90 days and 180 days reviews, diagnose, assessment, treatment planning and services specification documentation, etc.
  • Acting in conjunction with the clinical team related to discharge planning special program care
  • Performing other duties as required

SALARY & BENEFITS:

$55,000.00 to $67.000.00, depending on licensure and experience

REQUIRED EXPERIENCE:

Must have a master’s degree and current professional licensure in the State of MA. Experience in business health administration, Intake Registration, Intake Admissions and billing required. Must have business management and administrative experience overseeing medical records at community-based outpatient mental health program or clinic. Must understand compliance and medical necessity and be able to diagnose, complete assessments, treatment planning and services specification documentation and be detailed oriented.

Must be Culturally and Linguistically competent, bilingual a plus; Haitian Creole, Portuguese Creole, Spanish, Cantonese, or Vietnamese

Must have the following minimum qualifications & education preferred:

  • Psychologists
    • Doctoral degree in psychology (PhD, PsyD, EdD) from an accredited college or university and certification as a Health Service Provider (HSP) by the Board of Registration of Psychology in the Commonwealth of Massachusetts
    • Current, valid, and unrestricted license to practice psychology in the Commonwealth of Massachusetts
  • Child and Adolescent Psychiatrists
    • Board-certified in General Psychiatry by the American Board of Psychiatry and Neurology (ABPN)
    • Current, valid, and unrestricted license to practice psychology in the Commonwealth of Massachusetts
  • Licensed Independent Clinical Social Workers (LICSW)
    1. Master’s degree or higher in social work from an accredited college or university
    2. Current, valid, unrestricted licensure or certification to practice at the highest level of                          independent practice in the Commonwealth of Massachusetts (LICSW)
  • Licensed Mental Health Counselors (LMHC)
    1. Master’s degree in mental health field (including, but not restricted to, counseling, family therapy, psychology, etc.) from an accredited college or university
    2. Current, valid, unrestricted licensure or certification to practice in the Commonwealth of Massachusetts as a Licensed Mental Health Counselor (LMHC)
  • Licensed Marriage and Family Therapists (LMFT)
    • Master’s degree in mental health field (including, but not restricted to, counseling, family therapy, psychology, etc.) from an accredited college or university
    • Current, valid, unrestricted licensure or certification to practice in the Commonwealth of Massachusetts as a Licensed Marriage and Family Therapists (LMFT)
  • Licensed Applied Behavior Analysts
    • Current eligibility for professional licensure in the State of MA required, and must be willing to be trained as an MA Licensed Applied Behavior Analyst and has obtained License Applied Behavior Analysis (LABA) MA Licensure, OR Currently holds Applied Behavior Analysis (BCBA) certification, or be eligible, OR Currently in a program eligible for Applied Behavior Analysis (BCBA) certification
